Transforming an In-House Legal Function Through AI

Building AI Capability, Reducing Risk and Delivering Measurable Business Value

Many legal teams recognise the potential of AI, but few know where to start. The challenge is rarely access to technology. Instead, it is helping legal professionals develop the confidence, skills and governance needed to use AI effectively while identifying practical opportunities that deliver meaningful value to the business.

At First AI, we worked with the General Counsel and leadership team of a major UK organisation to design and deliver an AI adoption programme focused on three core objectives:

  • Increase AI literacy and confidence across the entire legal function.
  • Identify and develop high-value AI use cases and automations.
  • Deliver measurable business outcomes through improved efficiency, reduced external spend and stronger risk management.
Transforming an In-House Legal Function Through AI

Creating the Foundations for AI Adoption

The programme began with a series of AI literacy and Microsoft Copilot enablement sessions designed to ensure every member of the legal team understood:

  • What AI is and how it works.
  • How Microsoft Copilot protects organisational data.
  • Where AI can be safely and effectively applied within legal workflows.
  • The limitations of AI and the importance of human oversight.
  • How to prompt effectively to achieve consistent, high-quality outputs.

The goal was not to create AI experts. It was to ensure that every member of the legal function had the confidence and practical understanding needed to incorporate AI into their day-to-day work.

"The biggest barrier to AI adoption is rarely technology. It's confidence."

By focusing on practical, role-specific examples, the programme helped legal professionals move beyond experimentation and begin using AI to support real work.

Establishing an AI Champion Network

Alongside the wider literacy programme, First AI worked with a group of AI Champions drawn from different teams across the legal function.

These champions became the engine for innovation within the department, helping to identify areas where AI could reduce effort, improve consistency and create measurable value.

Working collaboratively with lawyers, legal operations professionals and business stakeholders, we assessed activities that consumed significant time, created operational bottlenecks or generated unnecessary cost.

Typical opportunities included:

  • Contract review and comparison.
  • Matter and document summarisation.
  • Regulatory and policy analysis.
  • Legal research acceleration.
  • Internal knowledge retrieval.
  • Drafting and document production.
  • Risk identification and reporting.
  • Business stakeholder communications.

Rather than pursuing technology for technology's sake, every opportunity was assessed against a simple question:

How can we free legal professionals to spend more time providing strategic advice and managing risk?

Delivering High-Value Automations

Following use-case discovery workshops, First AI worked with the champion group to design and implement a number of AI-enabled workflows and automations.

These solutions focused on:

Reducing Manual Effort
Automating repetitive and administrative activities that consumed significant amounts of legal team time.

Reducing External Spend
Identifying work that could be completed internally using AI-assisted workflows rather than relying on third-party support or external resources.

Improving Risk Management
Creating greater consistency in document review, policy assessment, information retrieval and reporting activities while ensuring appropriate legal oversight remained in place.

The result was a series of practical, business-focused solutions that improved productivity while strengthening governance and control.

Building Skills That Last Beyond the Programme

A key objective was to ensure capability remained within the organisation long after the programme concluded.
Alongside the delivery of automation opportunities, we helped the team develop:

  • Prompting skills and best practices.
  • Reusable prompt libraries.
  • Governance frameworks.
  • Responsible AI guidance.
  • Champion-led knowledge sharing.
  • Repeatable methods for identifying future use cases.

This created a sustainable model for ongoing adoption rather than a one-off training exercise.

"Successful AI adoption happens when organisations build capability, not dependency."

Legal Function Through AI

Outcomes

The programme delivered benefits across productivity, cost reduction and risk management.

Key Results

Increased AI literacy and confidence across the entire legal function.

Established a cross-functional network of AI Champions.

Identified and delivered multiple high-value automation opportunities.

Reduced manual effort across core legal processes.

Reduced reliance on external support and third-party spend.

Improved consistency and risk management across selected legal workflows.

Delivered an estimated £750,000 in annual benefit.

Created long-term capability that enables the legal team to continue identifying and implementing new AI opportunities independently.

A Foundation for the Future

For many organisations, the greatest value from AI does not come from replacing legal professionals. It comes from enabling them to spend less time on administration and information gathering, and more time applying judgement, advising the business and managing risk.

By combining AI literacy, responsible AI governance, champion-led adoption and practical automation delivery, this programme helped transform AI from an interesting technology into a tangible business capability.

At First AI, we help organisations operationalise AI by combining strategy, governance, adoption, capability development and automation delivery, ensuring AI becomes a sustainable part of how the business operates every day.
